Make your next retreat, wedding, family or business gathering as stress-free as possible.

Stress-Free Events

Planning your own social, business or community event can be overwhelming. For this reason, we’ve curated a helpful list of our top ten event planning tips for you to make your next get-together come off without a hitch.

  • Set clear goals and objectives: Determine what you want to achieve from the event, such as raising awareness, relaxation, generating leads, training, celebrating or networking.

  • Create a budget: Develop a budget for the event that includes all costs, from venue rental, catering, and overnight accommodations, to decorations and promotional materials.

  • Develop a timeline: Create a timeline that outlines all the tasks you need to complete leading up to the event, such as securing vendors and promoting the event.

  • Choose the right venue: Consider the location, size, and accessibility of the venue when choosing where to hold the event. If guests are traveling to attend your event, ensure the venue is by a major highway, and that accommodations are close by if needed.

  • Select vendors carefully: Choose vendors who have experience with the type of event you’re planning and who can meet your budget and timeline requirements. Ask a lot of questions to make certain you completely understand each vendor’s deliverables and constraints.

  • Create a detailed event agenda: Develop a schedule for the event that outlines the order of activities and provides enough time for each activity. This can be shared as an event guide for attendees, or to assist vendors and event staff in keeping your event on track.

  • Use technology to your advantage: Utilize event management software, social media platforms, and other digital tools to help with planning, promotion, and organization. Even a basic spreadsheet or digital planner can help provide an easy overview-at-a-glance.

  • Incorporate engaging activities: Plan activities that will keep attendees engaged and entertained, such as interactive workshops, games, networking sessions, music and dancing, or team-building activities.

  • Develop a backup plan: Have a contingency plan in place in case of unexpected issues. Review safety procedures with venue staff prior to the event. Even a small amount of emergency preparedness goes a long way.

  • Solicit feedback: After the event, ask attendees for feedback to help you assess the success of your event, and to guide you in the planning of future events.

We hope this list provides useful guidance for your next event. It is meant to be broad enough that it applies to many event types, yet concise enough that it acts as a useful tool for planning any event. Above all, we wish you happy (stress-free) event planning!
